How to choose an AI tool for business documents: 7 questions to ask

A general AI chat can write text about anything. A business document such as a business case, a BRD or a project charter needs more: the right structure, company sources, control over data and a result you can hand over straight away. Here are seven questions worth asking before you choose a tool.

1. Does it use proven templates or improvise?

An empty chat gives a slightly different document every time. A company is better served when the tool starts from proven methodology templates (for example PMI, BABOK, ITIL) and the organisation can add its own. Results are then comparable and reviewable.

2. Does it ask about what is missing?

A good tool does not wait for a perfect brief. It asks follow-up questions based on what the document type needs, and instead of inventing missing information it marks it to be completed.

3. Can it use your sources?

A document is only as good as its inputs. Check whether the tool can use your files and project sources (PDF, Word, Excel, presentations) and whether it is clear what it drew from.

4. Where is your data processed?

For many EU companies it matters where the AI model runs. Ask whether the tool offers processing in the EU, whether an administrator can choose which models the company uses, and whether it has clear contractual and legal documents (GDPR, AI Act).

5. Does it work where people already work?

If your company lives in Microsoft 365, a tool that works directly in Microsoft Teams and Copilot is far easier to adopt than yet another standalone app.

6. Is the result a finished document?

Text in a chat still needs formatting. Check whether you get a Word or PDF document with the right structure, versions and the option to edit.

7. Does the company keep oversight and control?

Roles and permissions, projects, sharing, an audit of who created what, and usage overview. Without these, AI is hard to scale in a company.

How Baaito answers these questions

  • dozens of proven templates for business, projects, IT, security and GDPR, plus the organisation’s own templates,
  • follow-up questions, with missing information marked to be completed rather than invented,
  • works with uploaded files and project sources,
  • the option of EU processing via Microsoft Azure models, with model choice controlled by the administrator,
  • on the web and in Microsoft Teams and Copilot,
  • output in Word and PDF with versions,
  • roles, projects, sharing, audit and usage overview.

FAQ

Is a regular AI chat enough for business documents? For a quick draft, yes. For documents that are approved, archived and compared, a tool with templates, sources and control is better.

Can AI invent data in a document? A regular chat can. That is why the tool should mark missing information instead of filling it with guesses.

Do we need Microsoft 365? No. Baaito also works on its own on the web; Teams and Copilot are an extra option.
