How Baaito uses AI

Effective date: 1 November 2026 · Version 1.0

Baaito is an AI assistant for preparing governed business documents. This page explains how AI is used and what stays under your control.

1. Assistant and document generation

The Baaito assistant helps you choose a template, collects the required information and generates a document from the template, your inputs and the sources you select. When you talk to Baaito, you are interacting with an AI system.

2. AI models and data location

Each AI model in Baaito is labelled with its data location. EU models (Microsoft Azure AI Foundry and Private Azure deployments) process data in the EU (Data Zone EU, data stored in Sweden Central). USA / global models (through the Lovable AI Gateway or OpenRouter) process data outside the EU under SCC / the EU–US Data Privacy Framework; they are available to every organisation and may be the default model. Indexing and search in uploaded sources currently use OpenAI embeddings through the Lovable AI Gateway outside the EU (see Sub-processors).

3. Providers controlled by your organisation

Your organisation’s administrator decides which models and providers are enabled. Some optional providers process data outside the EU; they are listed on the Sub-processors page.

4. Outputs must be reviewed

AI output can be inaccurate or incomplete. A person must review every generated document before it is relied on or shared. Baaito does not make decisions with legal or similarly significant effects on individuals.

5. No training on your content

We do not use customer content to train AI models, and we require our AI providers not to train on it.

6. Labelling

The assistant introduces itself as an AI assistant and is marked “AI” in the workspace. Generated Word and PDF documents carry “AI-generated” document properties and a footer note asking for review before use.
